Most buyers expect an order to belong to one person. In practice it never does. From the moment a specification is agreed to the moment the container doors close, your steel passes through several pairs of hands, and any one of them can stop the whole thing if something looks off. That is not paperwork for its own sake. It is how a 25-tonne order with a fixed delivery window stays on the rails. Here is who touches an order at our plant, and what each of them is actually deciding.
Your first contact is not a call centre. It is usually one person who reads your enquiry, asks three or four uncomfortable questions, and then writes the specification that the rest of us work from. The questions are boring, and they matter. Sheet thickness of 0.45mm or 0.47mm. Zinc coating at Z120 or Z275. Width 1,000mm or 1,220mm. Are you forming the sheet afterwards, or fixing it flat? Does it get cut and bent on site, or does it arrive finished?
Get one of those answers wrong and the mistake shows up weeks later at a port. A coil that was fine for a flat panel can craze along the fold line when someone runs it through a roll former. A paint system chosen for indoor racking will fade in six months on a roof in the Middle East. So the engineer writes it down properly, and this is the version that goes into the contract. If you ever want to know why your quotation looks the way it does, this is the stage that decided it.
Before anything is cut, someone walks the yard with a magnet, a micrometer and a copy of the specification. They check the coil tag against the mill certificate, measure thickness at the edges and the middle of the strip, and look at the surface under a raking light. Spangle size, skin-pass, oil film, edge condition. Small things, but they are the difference between a clean coil and a complaint.
Our inspector has authority to reject a coil that does not match its paperwork, even when the mill says it is fine, and even when the delivery date is tight. You can imagine how popular that is internally. It happens maybe a few times a month, and it has saved a fair number of arguments at destination ports. A rejected coil goes back into stock for another customer whose tolerance is wider, and we order a replacement.
If your order needs slitting, cutting to length, or corrugating, it goes to a crew who do this all day. The slitting line is where a 1,250mm master coil becomes five coils of 250mm. Tolerances here are measured in fractions of a millimetre, and the operator sets the blade clearance according to the thickness, because too much clearance gives you a burr and too little gives you a cracked edge that will rust first.
On the coating line, the awkward part is always the beginning. Nobody can guarantee that the first few metres of a fresh colour run match the panel produced an hour later, so the crew discards the first length rather than shipping it. Buyers who have fought a colour mismatch on site tend to appreciate that habit. If you are ordering PPGI colour coated coil, ask how much of the head end is scrapped, and ask whether the previous colour was fully purged. That answer tells you more than any brochure.
For roofing profiles, forming is where the geometry gets fixed. Rib height, pitch, and the number of ribs per sheet decide how the panels nest and how much material the roof actually needs. Delivery of a corrugated roofing sheet that does not sit flat usually traces back to a profile question that was never asked at the quotation stage.
Last in the chain are the two people buyers rarely meet. The loading supervisor decides how the coils or sheets are spread across the container floor, where the dunnage goes, and whether the weight sits evenly enough to pass a roadside check. Twenty-seven tonnes of steel in a 40ft box is close to the legal limit in most countries, and getting it wrong is not a small error.
The documents clerk assembles the packing list, the mill certificate, the invoice and the bill of lading, and makes sure the names on all four match exactly. This is the part that looks trivial until a customs broker in Lagos or Rotterdam finds a discrepancy and the goods sit in a yard for a week. Every one of our shipments ships with a galvanized steel coil certificate that traces back to a heat number, so if a question comes up two years later, we can answer it.
The phone call you want is not the one that says everything went beautifully. It is the one that arrives early, when we know the mill has slipped a week or the vessel has been rolled, so you can rearrange your own plans. That call only happens if the people above are actually talking to each other. Which, most days, they are.
