A couple of times a week, someone writes to us with the same opening line: "Before we place an order, can you send a sample?" The short answer is yes, we do it all the time. The longer answer is worth reading, because a sample request handled well saves both sides a lot of trouble later, and there are a few things you can do on your end to make the whole thing move faster.
We ship steel out of Qingdao to buyers in more than forty countries, and in our experience the orders that go smoothly are almost always the ones where the customer touched the material first. Not a photo. Not a PDF datasheet. An actual piece of coil or sheet they can bend, weld, paint, or hand to their own customer. So we treat sample requests as part of the sale, not a favor.
The fastest way to slow a sample down is to ask for "a bit of that galvanized coil" without specifics. When an inquiry lands in our inbox, the first thing our sales team does is pin down four things: the product, the grade, the dimensions, and what the sample is for.
Product and grade are usually easy. If you are comparing galvanized steel coil against a prepainted option for a roofing project, tell us that, because we might send two different samples and let you judge the surfaces side by side. Dimensions matter more than people expect. A 0.5 mm strip and a 1.5 mm strip of the same Z275 coating feel like completely different materials in the hand, and if your end use is roll forming, the wrong thickness in the sample tells you nothing useful.
The purpose question is the one that surprises people. We ask because a sample for a lab corrosion test needs mill edges and certified coating weight, while a sample for showing your boss the color of a PPGI steel coil just needs to be big enough to see the finish in daylight. Different purposes, different preparation, different paperwork. Once we know the purpose, we can match the sample to what you will actually test.
Most of our samples are cut on a guillotine from current production stock, usually A4-sized or a little larger, and deburred so nobody cuts a hand unpacking them. For coil products we like to send a piece that shows the full width including the edge, because edge condition is where a lot of quality complaints start. If the material is corrugated or profiled, we keep the profile intact. A flattened piece of corrugated roofing sheet proves nothing about how the ribs will look on a roof, so those go out as formed panels, sometimes a full meter long if the customer is serious.
Surface-sensitive products get extra care. Stainless samples, like our 304 stainless steel coil material, are wrapped in PE film before packing so the finish arrives the way it left the line. Printed and wood-grain coils travel with a protective layer too, because a scratched sample is worse than no sample at all.
Every sample leaves with a tag: heat number, grade, coating, thickness, and the date it was cut. That tag matters more than it looks. If your lab comes back six months later with a question about corrosion performance, we can pull the exact production record behind that piece instead of guessing. Traceability is not just for full orders; it starts at sample size.
Here is the honest bit. The sample itself is usually ready in two or three working days. Getting it to you is the variable we do not fully control. A courier parcel of a few kilograms to Southeast Asia might land in a week. The same parcel to landlocked Central Asia, or anywhere that needs an export declaration with each shipment, can take two or three weeks door to door.
Two practical ways around this. First, many buyers consolidate samples with a container already in planning, which costs almost nothing extra and lets us send bigger, more representative pieces. Second, if you have a freight forwarder who handles your small parcels, hand us their contact and we will coordinate directly. What we try to avoid is the pattern where a sample request turns into five rounds of "any update?" over a month. Tell us your deadline and we will tell you straight away whether courier, consolidated freight, or a local equivalent is the realistic route.
Once a sample is approved, we log it against the quoted specification, and that record follows the order. When the full production run is ready, our QC team compares the batch against the kept sample reference, not just against the standard. This is how we catch the small drifts, a slightly different gloss level, a coating batch at the low end of tolerance, before anything is loaded.
It also protects you on delivery. If a shipment ever needs a claim discussion, both sides can point to the approved sample rather than arguing from memory. We have been in this business long enough to know that most disputes are really specification disputes that nobody wrote down early enough.
